Terms of Service

Welcome to Hublumen. By accessing or using our service, you agree to be bound by these Terms of Service and all applicable laws and regulations.

1. Acceptance of terms

By creating an account and using Hublumen, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our service.

2. Description of service

Hublumen provides a client portal and project management platform designed for digital agencies. Our service includes:

  • Project management and tracking
  • File storage and sharing
  • Team and client communication
  • CRM and billing features
  • Brand asset management

3. Account registration

To use Hublumen, you must create an account. You agree to:

  • Provide accurate and complete information
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized access
  • Be responsible for all activities under your account

4. Subscription and payment

Hublumen offers subscription-based pricing:

  • Basic Plan: $49/month
  • Professional Plan: $149/month
  • Enterprise Plan: Custom pricing

All subscriptions include a 3-day free trial. You may cancel at any time. Refunds are provided on a case-by-case basis.

5. User content

You retain all rights to the content you upload to Hublumen. By uploading content, you grant us a license to store, process, and display your content solely for the purpose of providing our service.

6. Prohibited uses

You agree not to use Hublumen for any illegal or unauthorized purpose, including but not limited to:

  • Violating any laws or regulations
  • Infringing on intellectual property rights
  • Distributing malware or harmful code
  • Harassing or abusing other users
  • Attempting to gain unauthorized access to our systems

7. Service availability

We strive to maintain 99.9% uptime but cannot guarantee uninterrupted service. We reserve the right to modify, suspend, or discontinue the service at any time.

8. Limitation of liability

To the maximum extent permitted by law, Hublumen shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the service.

9. Termination

We may terminate or suspend your account at any time for violations of these terms. You may terminate your account at any time by contacting support.

10. Changes to terms

We reserve the right to modify these terms at any time. We will notify you of significant changes via email. Continued use of the service constitutes acceptance of modified terms.

Prohibited activities

You may not use Hublumen to:

  • Violate any laws or regulations
  • Infringe on intellectual property rights
  • Distribute spam, malware, or viruses
  • Engage in fraudulent activities
  • Harass, threaten, or abuse others
  • Impersonate others or misrepresent affiliation
  • Interfere with service operation
  • Attempt unauthorized access
  • Scrape or harvest user data

Enforcement

Violations may result in account suspension or termination. We reserve the right to investigate suspected violations and cooperate with law enforcement.

Privacy Policy

At Hublumen, we take your privacy seriously. This Privacy Policy explains how we collect, use, and protect your personal information.

Information we collect

We collect information that you provide directly to us:

  • Account information: Name, email, company name, phone number
  • Profile data: Profile photos, job titles, preferences
  • Content: Files, messages, project data you upload
  • Billing information: Payment details processed securely through Stripe
  • Product usage: A record of every action taken in the workspace — described in full below

What we record when you use Hublumen

We keep a record of everything that happens in your workspace. Every message sent, file uploaded, task completed, ticket opened or closed, and project created, updated or completed is recorded as it happens. Not a sample, and not a monthly total.

Each record holds what happened and when, who did it, which client and project it belongs to, and a short label so it can be read back as a timeline. For a file that label is the file name, and we also store its type and size. For a message, the label is the first 80 characters of the message. The rest of the message body stays in your conversation and is not copied into the activity record.

Why. This is what your dashboard, your project timelines, and the activity feed your clients see are made of. It is also how work is attributed for retainers and reporting. Without it a portal cannot tell you what happened last week.

Nothing more than that. We track your use of our own product and nothing else. There is no third-party analytics on Hublumen — no Google Analytics, Tag Manager, Plausible, PostHog, Segment, Hotjar or Meta pixel — no advertising, and no cross-site tracking. We do not follow you to other websites and we never sell these records.

Who can see it. These records belong to a workspace and, where relevant, to a client portal. Members of the workspace can see activity within it, and a client can see the activity on their own portal — that visibility is the purpose of a shared portal. Our staff access it to operate the service and investigate faults.

How we use your information

We use your information to:

  • Provide and improve our service
  • Communicate with you about your account
  • Process payments and prevent fraud
  • Send product updates and marketing (with your consent)
  • Analyze usage patterns to improve features
  • Comply with legal obligations

Data storage and security

Your data is stored securely using industry-standard encryption:

  • Data encrypted in transit (TLS/SSL)
  • Data encrypted at rest (AES-256)
  • Regular security audits and penetration testing
  • Hosted on secure cloud infrastructure (Supabase, Cloudflare)
  • Access controls and authentication

Data sharing

We do not sell your personal information. We may share data with:

  • Service providers: Hosting, database, authentication, and payment processing. We use no analytics provider
  • Team members: Within your organization as configured
  • Legal requirements: When required by law

Your rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data
  • Opt-out of marketing communications
  • Object to data processing

Data retention

We retain your data for as long as your account is active or as needed to provide services. After account deletion, we retain data for 30 days before permanent deletion.

International transfers

Your data may be transferred to and processed in countries outside your residence. We ensure appropriate safeguards are in place for such transfers.

Children's privacy

Hublumen is not intended for users under 16 years of age. We do not knowingly collect information from children.
